Order - Rotation

The rotation section is where you place the actual copy that will run with your order.

Image

Your order must be placed before you attach copy because you will need to add a copy rotation for each length spot that is called for within the order.

Image

You will see a length in that list for every length used in a line item in the order tab. You will need a separate rotation for each length entered.

Edit

Add Copy

Click the add button to open the list of available copy for the length of spot chosen.

This list of spots will then show. Any spot in the system of the correct length and has valid run dates for the commercial flight will show in the list.

Image

If the list is empty as shown above, you will need to create new copy. Click the NEW button to open the copy window where you can add the new copy.

Once you have completed the copy form, click OK to return to the list of copy. You can add as many pieces of copy as you wish before adding them to the rotation. If you enter more than one, you will see multiple pieces of copy on the list.

You will need to click and highlight each one and choose OK to add them to your copy rotation. This means you'll have to "add" each one manually.

Percentage/Ratio

Image

Now, by default, the spots will run in a 1:1 ratio (as shown in the above screen shot.) No matter how many spots you put into a rotation they will rotate evenly by default. If you want to rotate them in a manner other than evenly, you will need to set up the rotations in the ratio editor.

Image

The ratio editor will allow you to place spots in whatever mix they need to be placed in your order. So if you have to rotate spots on a 3-2-5 rotation, you place the rotation as shown in the example above. Once you enter the rotation and click OK, you will get this:

You will be able to move the spots around in that rotation in any way you wish. Once the rotations are acceptable to you, click OK to save the rotation.

You can edit rotations at any time.

Live Copy

If you wish to track live copy within your system, you will need to schedule an actual cart in your automation system. This is the only way that RadioTraffic will automatically note the live copy during log reconciliation.

In your on-air automation, schedule either a special music bed with a cart number (as you would for a regular spot) or a cart with a second of silence so your automation will record that the spot played as scheduled.

WARNING: There is a risk in that your air talent may not actually read the live copy but it will show on your reconciliation that the spot actually ran on the air. You will need to verify daily from your printed log if the air talent has checked off the live read. If you commit a reconciliation with live copy marked approved that did not actually run, you will have that spot appear on the bill sent to the customer.

Hints/Tips

If a schedule runs with one co-op spot and one non co-op spot will it split the invoice into two?

It will not split the invoice it will just split the coop script, one with the script and the amount of spots that ran, and one with no script.
